Best Practices for Zoom
Meeting Attendance
Zoom automatically generates a list of those who attend each meeting. You can use this to take attendance for classes and meetings held on Zoom. Follow the steps below to access this report.
- Attendance You can access the attendance lists here or by navigating to highlands.zoom.us and clicking on “Reports” and then “Usage.”
Meeting Links
- Do not post links to Zoom meetings on public websites. If you do so, anyone on the internet can join your meeting. Instead, only post them where attendees have to use their GHC SSO credentials to access, such as D2L or the Intranet.
- Note that GHC Inform posts are publicly accessible on the internet.
- Consider requiring registration for your Zoom meetings. If you do so, you can post the registration links publicly on the internet.
Security for Joining A Meeting
- Zoom automatically assigns each meeting both a random passcode and a waiting room. It is a best practice to retain at least one or the other, or both, to prevent unauthorized attendees from inadvertently joining your meeting. Meeting organizers can also require attendees to authenticate by logging into their Zoom accounts in order to join a meeting.
- To edit these settings in highlands.zoom.us:
- While creating a meeting, scroll down to "Security" and toggle the three security options on or off and type a new passcode (letters or numbers) over the automatically generated one.
